Exhibitor Terms and Conditions

By using this website and purchasing products or services, you (“You”) acknowledge that You have read and fully understand the terms herein and consent to the Expo conditions.

​

Timing. The venue will be open to the public on Saturday November 6th from 10am-6pm and Sunday, November 7th from 10am-6pm with set up starting on Friday November 5th at 12pm-8pm.  Any exhibitor’s booth not in place by 9:45 am on Saturday Nov 6th will forfeit their participation in the Expo.  You may leave your booth erected overnight on Saturday.  Breaking your booth down prior to the end of the show at 5pm on Sunday November 7th is not permitted and in doing so will prevent participation in future events.   Breakdown begins at 5:00 pm on Sunday and must be completed by 9:00 pm.  30 days prior to event you will receive an exhibitor move-in kit with further instruction.

 

Booth Specifications. All 10' x 10' booths come with pipe and drape, 8' draped backdrop, 3’ sidewalls, two chairs, a table with tablecloth and skirting, badges and a sign. 6w' x 10L' Reader Booths include pipe and drape, 8' draped backdrop, 3' sidewalls, two chairs, a 4' table with tablecloth and skirting, badge and a booth sign. You are responsible for any and all damage(s) caused to any of the above-mentioned items. 30 days prior to Expo, Exhibitors will receive an exhibitor move-in kit detailing all option items available to assist you in decorating your booth.  Billing for extra items, for example, electric, additional tables, etc. will come directly from the Convention Center decorator who will contact you shortly after purchase of booth. These extra items are entirely optional and are offered as a service to the exhibitor. Exhibit height should not in any way block other exhibit booths. Any exhibit over 8 feet high must be cleared with the sponsor when the contract is signed.

READERS BOOTHS: All 6wx10L booths are reserved for readers/healers and are not for exclusively selling products, you may carry limited products, but readings must be your main category. One reader will be allowed in each of the 6x10' reader booth spaces. 

​

Booth Responsibilities. You are responsible for running your own booth. Additionally, you shall keep your exhibit open and staffed at all times during the Expo. Vendors are to remain in booth when advertising products/services and are prohibited from walking through the show to speak to attendees to promote their business and will be asked to leave without a refund. 

​

RESERVATION OF RIGHTS:  The sponsor reserves the right to determine the eligibility of an exhibitor’s products and or services and company. If it is not in the best interest of the expo and it’s attendees, the exhibitor will receive a full refund. The sponsor reserves the right to reassign booth space in the best interests of all those exhibiting and attending. The sponsor does not offer exclusivity for any products or services outside of a sponsored product. Exhibitors must list all products sold in the description section when purchasing their booth. With regard to all of the above, the company may do so at their sole discretion and without notice.

BURNING: Burning of incense, candles, sage or any other material is not permitted at the Expo. Additionally, smoking of any kind is strictly prohibited. 

​

BEHAVIOR: The Sponsor has the right to remove, without refund, any exhibitor that is not conducting themselves in a manner deemed appropriate to the integrity of the Expo.  

​

SOUND:  Amplification of sound or voice is allowed so long as it does not prevent exhibitors from speaking with guests in a normal voice. The Sponsor reserves the right to restrict any exhibitor who is violating this rule and remove them from participation in the Expo without refund. Behavior. The Sponsor has the right to remove, without refund, any exhibitor that is not conducting themselves in a manner deemed appropriate to the integrity of the Expo.

Sponsor Rights: The Sponsor reserves the right to determine the eligibility of Your products. In the event the Sponsor deems Your products ineligible for the Expo, you will receive a full refund. The Sponsor reserves the right to reassign booth space at its discretion. The Sponsor does not offer exclusivity for any products or services outside of a sponsored product.

DISTRIBUTION OF MATERIALS OR PROMOTING YOUR BUSINESS:  No distribution of business cards, brochures, or other promotional material will be allowed unless that individual or company is also a participant in the Expo.  Violators will be required to leave without refund of fees. An exhibitor may not post or pass out flyers or other promotional material outside the perimeters of their booth.  Exhibitors may not sublet, resell or reassign its booth space under any circumstances.

Fees. Fees to participate in the Expo range from $495 to $1300, depending on which booth is chosen. Fees must be paid immediately upon choosing a booth unless you choose to reserve with a $200 deposit with balance due by Sept 1st. All fees are non-refundable, this includes $200 deposit. Any advertising space purchased in the Attendee Directory shall also be non-refundable.   If the city or the sponsor cancels the event due to COVID or Natural Causes, vendors will have a credit for any purchases toward the next Expo.

Security Risk. Although the Sponsor will provide basic security for the Expo, the Sponsor is not liable for lost, damaged, or stolen goods equipment, or personal property. You are advised to carry Your own property and casualty insurance to cover any losses.

​

Liability. The Sponsor will not be responsible for any injury, loss or damage that may occur to You or Your personnel, guests, invitees or property. You are solely responsible for Your own exhibit materials and should insure Your exhibit against loss or damage.

​

Indemnity. Notwithstanding anything the contrary, You shall indemnify the Sponsor and Expo against any and all claims, liabilities, damages, costs, and expenses (including attorneys' fees) arising from Your participation in the Expo or from claims of injury or damage to any other person or property which is alleged to be caused by, in whole or in part, You. You hereby waive any and all claims against the Sponsor and the Expo resulting from loss, theft, damage, injury or destruction of its property; You assume full and complete responsibility for any damage or destruction of the property of others and all liabilities of any kind arising from Your participation in the Expo, on, before and after the actual Expo and You hereby hold the Sponsor harmless in such event. You understand that the Sponsor does not guarantee attendance or sales and the Sponsor reserves the right to approve of any products at the Expo.

Force Majeure. In no event shall the Sponsor be responsible or liable for any failure or delay in the performance of its obligations hereunder arising out of or caused by, directly or indirectly, forces beyond its control, including, without limitation, acts of war or terrorism, civil or military disturbances, nuclear or natural catastrophes or acts of God; it being understood that the Sponsor shall use reasonable efforts to resume performance of its obligations as soon as practicable under the circumstances.

​

Regulations. You shall be solely responsible for obtaining any licenses, permits, approvals and any necessary tax identification numbers under federal, state or local laws applicable to activities at the Expo.

​

Advertising. At the Expo, the Sponsor may take photographs and/or videos of Expo booths, demos, products and/or personnel for promotional purposes. You grant the Sponsor a perpetual nonexclusive license to use, display and reproduce the name, logo, product(s), images and interviews of Your booth in any media for promotional purposes.

​

Governing Law. This Form is governed by the laws of the State of Illinois. without regard to any rules of conflict or choice of laws. Each party hereby consents and agrees that the courts of the State of Illinois will have exclusive jurisdiction to deal with any disputes or claims arising out of or relating to this Form.
